Rules and Regulations
We hereby apply for participating in the above-mentioned exhibition, we also agree to abide by the following exhibiting rules and regulations: RULES AND REGULATIONS 1. Participation i) Participant shall complete the Application Form and return it to Hong Kong Comic Con 2026 Limited's appointed coordinator Hiuyeung International Limited (“the manager”). ii) Only registered companies (both locally and overseas) or over 3 years’ experience in the industry shall be qualified as participants. iii) The Organiser reserves the only right to allocate or re-allocate the location of the exhibitor in the Exhibition Hall. iv) All artworks created at the Exhibition represents the Participant’s original creation. 2. Terms i) To safeguard all exhibitors, exhibitors shall purchase third party liability insurance, and the insured amount shall not be less than HK$20 million. The insured parties in the certificate of insurance and/or policy document have to include the Organiser "Optics Media Production Limited". For details and rules, please read "Exhibitor Manual: Insurance & Security". ii) Under no circumstances shall the Exhibitor attempt to assign or transfer any right or interest in the Exhibition to a third party without the prior written consent of the Organiser. iii) The Exhibitor has no right to abandon its booth or to remove any exhibiting items other than the goods or merchandise displayed from the booth before the closing of the Exhibition. iv) The Exhibitor shall not withdraw its exhibiting items from the Exhibition until the official closing of the Exhibition. If the Exhibitor withdraws before the official closing of the Exhibition without the official approval in writing from the Organiser, the Exhibitor shall be liable for an extra charge equivalent to a daily interest of 2.5% on top of the original Participation Fee to the Organiser as compensation. The extra cost will be charged to the Exhibitor in the form of an administrative fee. v) The Exhibitor acknowledges that the Organiser has appointed an official payment partner to provide payment terminals and assist with payment processing. As such, the Artist agrees to the terms and payment processing fees set forth by the official payment partner. 3. Exhibits i) No counterfeit goods and poor quality merchandise shall be sold in the exhibition. All exhibits and products must be in good condition and properly licensed or franchised, otherwise the exhibitor shall be liable to prosecution. ii) The Exhibitor may only offer for display/sale within the designated booth area the exhibiting goods and/or such other merchandise approved by the Organiser. iii) The Exhibitor agrees to withdraw from the display/sale of goods and/or such other merchandise if and when required by the Organiser. iv) All goods and merchandise or any exhibits offered for display/sale by the Exhibitor at the designated booth area shall be the property of the Exhibitor. The Exhibitor shall be fully responsible for the delivery of display and safekeeping of the goods and merchandise. In addition, the Exhibitor shall insure the property described in this sub-clause with an insurance company of the repute providing adequate cover against fire, flooding, theft, burglary and such other risks as companies carrying out the same types of business as the Exhibitor commonly covered by insurance. The Organiser shall not in any way and for any reason be liable for the loss and/or damage to the goods, decorative equipment and advertising material of the Exhibitor or the business of the Exhibitor. The Exhibitor shall be liable for and shall indemnify and hold the Organiser harmless against any claims, losses or damages to any person or property directly or indirectly occasioned by or arising from the Exhibitor at the Exhibition. 4. Stands i) All shell scheme booths shall be constructed by the main contractor appointed by the Organiser. ii) The Exhibitor shall employ the Organiser's designated contractor to decorate the interior of the booth, while using its best endeavours to make the booth attractive for the display/sale of the goods and merchandise. iii) In the event that the booth is decorated by the Exhibitor's own contractor, the Exhibitor shall be fully responsible for the removal of all waste and litter resulting from such installment or dismantling from the Exhibition Hall before the opening and immediately after the closing of the Exhibition according to the arrangement defined by the Organiser. iv) The booth shall at the expense of the Exhibitor be kept clean and free from litter at all times during the Exhibition. v) The Exhibitor’s move-out shall be completed by 23:59 hours on 31 May 2026. During the move-out period, the Exhibitor shall remove all its goods, equipment, and personal belongings from the booth and restore the booth to the state it was in at the time of move-in. Any items left behind after the move-out deadline may be removed and disposed of by the Organiser without prior notice to the Exhibitor. vi) As to the interior decoration of the booth, the Exhibitor shall comply with all Rules and Regulations provided by the Organiser in the Exhibition Manual and in due course. vii) The contractor build dates and Exhibitor setup dates are scheduled for 27 May 2026 and 28 May 2026. The Exhibitor shall complete the booth setup within the specified timeframe to ensure compliance with the Exhibition opening schedule. viii) Only the official contractor appointed by the Organiser shall have the right to carry out all electrical works in the Exhibition Hall. The Exhibitor shall procure to pay the official contractor appointed by the Organiser the sum payable for the installation of the electrical network. The Exhibitor shall not use multiplug during the Exhibition. ix) All exhibitors shall conform to the Rules and Regulations as defined in the Exhibitor Manual. If the exhibitor violates any rules and regulation, the Organiser has the sole discretion to terminate the exhibit arrangement, upon which the exhibitor must dismantle immediately. The Organiser will not offer any types of compensation, including the refund of the participation fee, in the event of termination. 5. Operations i) All personnel assigned to the Exhibitor’s booth at the Exhibition Hall shall be the staff of the Exhibitor who shall observe and comply with the Rules and Regulations of the Exhibition. ii) The Exhibitor shall properly insure and keep insured its own costs and expenses, including all personnel assigned to man the booth for compensation. The Organizer shall not be responsible for any loss, damage or injury caused to the Exhibitor or its staff in the Exhibition. iii) The Exhibitor shall assign an adequate number of staff for the purpose of manning the booth to ensure that the booth would not be unattended or understaffed at any given time. iv) The Exhibitor may only distribute samples, souvenirs, permitted publications, and similar items, or conduct sales or sales promotion activities, within its allocated exhibition space. v) The Organiser reserves the sole discretion to approve, control, or prohibit any merchandise, samples, or other items made available to attendees by the Exhibitor, including, but not limited to, determining the location of such items. vi) The Exhibitor or its staff shall not commit any act amounting to nuisance or disturbance to the Organiser or any other Exhibitor in the Exhibition Hall. In the event any audio-visual equipment used by the Exhibitor during the Exhibition causes any nuisance or disturbance, the Organiser has unfettered right at its sole discretion to abandon the use of such equipment. vii) The Exhibitor or its staff shall not bring any food or drinks into the Exhibition Hall during the Exhibition. viii) The Exhibitor expressly undertakes to indemnify the Organiser and keep the Organiser indemnified against all actions, proceedings, claims and demands made against the Organiser by any third party during the Exhibition. ix) All goods or merchandises or any exhibit in the booth area shall be the property of the Exhibitor, and shall be removed immediately after the Exhibition. Any property described in this sub-clause shall be forfeited if the Exhibitor fails to remove after the closing of the Exhibition. The Organiser shall not be responsible for the safe-keeping of any Exhibitor property after the Exhibition. x) The Exhibitor shall move in and out of the Exhibition Hall in accordance with the schedule issued by the Organiser. The Organiser shall not be responsible for the safekeeping of the said exhibit before, during or after the Exhibition. xi) (a) In the event that the Exhibition Hall or any part thereof at any time during the Exhibition is damaged or destroyed by fire, water, storm, wind, typhoon, defective construction, earthquake, subsidence of the ground, civil commotion or unrest, act of government or other institution, or any other cause not attributable to the act of default the Organiser, so as to be rendered unfit for use and occupation or being declared unfit for use and occupation or becoming inaccessible due to any cause whatsoever, the Exhibitor shall not display its goods or merchandise at the booth area or elsewhere in the Exhibition Hall. The Organiser shall be under no obligation to reinstate the booth area or Exhibition Hall or render the same accessible. (b) In any such event, the Organiser shall have the right to terminate this Agreement without cause at any time. The Organiser shall not be liable to the Exhibitor whatsoever for such termination, whether for compensation, loss, damage, cost or otherwise. The Exhibitor shall not have any claim whatsoever against the Organiser. 6. Miscellaneous i) The Organiser shall reserve the right to alter, amend, or incorporate changes to this Rules and Regulations at any time. ii) The Organiser reserves the right to make final decisions in the event of any dispute. ii) The Organiser shall not be liable for any loss or damage incurred by the Exhibitor in respect of any error or omission in any printed matters issued for or during the Exhibition.
